Administrative Assistant

This is a full time 40 hour per week role (9am-5pm weekdays) within our office at Edison Park Clinic and Hospital. It is a busy yet highly rewarding role supporting our Practice Manager and Clinical Directors. 

£10.50 per hour

  • Assist with general administrative duties such as letter writing, filing, reporting, scanning, collating/inputting data ·
  • Recording of invoices & statements, liaise with suppliers & accounts
  • Assist with holiday and CPD applications
  • Recording and monitoring of staff sickness
  • Arrange external and internal meetings, communication and diaries
  • Assist with events – CPD evenings/weekends, open days, dog shows etc
  • Assist with PHC scheme policies and accounts
  • Assist with new staff inductions – clocking in machine, log ins, tours
  • Assist with work experience students – bookings, inductions
  • Assist with Health and Safety administration
  • Assist with maintenance administration
  • Assist with Insurance Claims & Accounts as and when required
  • Collate Marketing information & report to Senior Management.
  • Assist with referral enquiries when necessary
  • To be familiar with the relevant parts of the business plan especially the business and marketing objectives. · Liaise with the senior management team and undertake other administrative duties as required

Qualifications 

Must have minimum of A*- C grade at GCSE or equivalent in Math and English Language. Preferred qualification in Customer service and office administration.

Administrative Assistant - Referrals

This is an interesting role based at our Edison Park Clinic and Hospital. It is based on a 40 hour working week with the following hours:

Week 1 - 8am - 4pm, Week 2 - 12.30pm - 8pm with 1 in 3 Saturdays 9am - 1pm. 
£10.50 per hour.

This role deals with cases that are referred into our specialist team from other vets in the country. 

Routine and regular practices include but are not limited to:

  • Telephone enquiries 
  • Booking appointments
  • Liaising with Vets/Clients
  • Managing diaries
  • Assisting with insurance claims
  • Dealing with client account queries
  • Assisting with finance plans
  • Assisting with events – CPD evenings/weekends, open days, dog shows etc
  • Assisting with maintenance bookings
  • Arranging staff meetings & communications
  • Office Admin duties including
    • Maintaining vets' diaries
    • Filing & scanning of documents
    • Monitoring and ordering stationary supplies
    • Undertaking training and development (both in-house and external) as required to meet the needs of the role

Skills and competencies

  • Experience of debt collection
  • PC literate with Excel and Word
  • Able to adapt and quickly use in-house computer applications and software
  • Experience of working in multi functional office environment

Receptionist Full Time

This full time position is primarily based at our Edison Park Clinic and Hospital of Dorcan Way in Swindon. It is a highly rewarding role that involves close contact with clients and their pets. We are looking for candidates that can start as soon as possible but will also consider strong candidates who need to work out a longer notice period.

Rota includes  a share of mornings, evenings and weekends.

40 hours per week - £9.25 per hour

Receptionist Part Time Maternity Cover

This part-time position is primarily based at our Edison Park Clinic and Hospital of Dorcan Way in Swindon. It is a highly rewarding role that involves close contact with clients and their pets. We are looking for candidates that can start as soon as possible but will also consider strong candidates who need to work out a longer notice period.

There is a 2 week rolling rota with the following hours:

Week 1: 3pm - 7.30pm = 22.50 hours

Week 2:  3pm - 8.30pm = 27.50 hours

£8.44 per hour

Receptionist Part Time Bath Road Clinic

This position is based at our Bath Road Clinic in Old Town. Working hours are Monday, Tuesday and Wednesdays from 2pm - 7.15pm. This position requires candidates to be comfortable to work solo until evening clinics start at 4pm when they will be working as a close team with the consulting vet where there is a need for good organisation skills and the use of initiative in order for the smooth running of the clinic. Occasional animal handling may be required.
